Receptionist & Client Experience Coordinator

The Receptionist & Client Experience Coordinator plays a vital role in delivering on that mission. This position is the first in-person impression of our firm. They welcome clients, help them feel comfortable and prepared, and ensure our office operates smoothly and professionally each day.

What You’ll Do
Client Experience & Hospitality
-
Greet clients and visitors warmly and professionally upon arrival

Help clients feel comfortable and prepared for meetings by offering coffee or water, assisting with simple paperwork, and guiding them through next steps

Take payments on invoices and assist with basic check-in tasks

Maintain a calm, polished, and welcoming lobby and conference room environment

Communicate clearly and compassionately with clients who may be anxious or confused
Front Desk & Phone Support

Serve as the primary point of contact for in-person visitors

Provide backup support for inbound and outbound phone calls as needed, including during high-volume periods or team absences

Route calls and emails appropriately and support timely communication while maintaining clear boundaries around legal advice

Act as a professional gatekeeper for attorneys by managing walk-ins, one-off requests, and appointment delays in a solution-oriented manner
Administrative & Office Support

Manage incoming and outgoing mail

Scan, save, organize, and file documents in our electronic systems

Assist with assembling estate planning binders, LLC binders, and court files

Order, organize, and maintain office supplies and snacks
-
Run occasional office or business-related errands

Coordinate with our third-party IT vendor to assist with technical issues
Executive Support
· Provide occasional personal assistant support to the CEO, such as scheduling calendar appointments and reservations, booking travel, and preparing for presentations and community events
Schedule & Work Environment
-
This position is full-time and in person.

Availability required Tuesday, Wednesday, and Thursday from 8:30 a.m. to 5:00 p.m. (our busiest client-facing days), but there is some flexibility on Mondays and Fridays when client traffic is lighter.

What We’re Looking For

Strong organizational skills and attention to detail

Ability to handle interruptions and shifting priorities calmly

Comfort setting kind but firm boundaries with clients and visitors

High level of discretion and respect for confidentiality

Strong phone and email skills

Comfort using Microsoft Office (Outlook, Word, Excel, Planner, Teams)

Willingness and ability to learn new systems and technology (Clio and Lawmatics are two of our primary softwares)

Warm, polished, and professional communication skills (in person, by phone, and in writing)

Experience in a law firm is not required. Candidates with backgrounds in hospitality, medical offices, administrative support, or other professional client-facing roles are encouraged to apply

We offer $450/month toward health insurance, plus group short-term disability, long-term disability, and life insurance.

We offer a generous 34 days of paid time off, include 5 days of PTO that vest immediately, 24 vacation days that accrue over the year, and 15 firm holidays (including both your birthday and Eddie Vedder’s).
