Position Summary:

The Shipping & Receiving Clerk occupies a crucial role in the seamless movement of goods within the organization. This position is centred on meticulously verifying, documenting, and managing both incoming and outgoing shipments. The Clerk plays a vital role in maintaining meticulous records within the business system and ensuring the accurate and timely dispatch of shipments to customers. The Clerk's attention to detail and adherence to protocols are instrumental in upholding the organization's commitment to quality and customer satisfaction.

Key Job Responsibilities:

  • Crucially, the Clerk verifies the accuracy of incoming and outgoing shipments by meticulously comparing identifying information, conducting counts, measurements, and weights. This verification is against pertinent documents such as bills of lading, invoices, and orders.
  • In situations where shipment methods are unspecified, the Clerk takes responsibility for determining the most appropriate method of shipment, considering factors such as urgency and nature of the items.
  • The Clerk affixes shipping labels on packages and containers, ensuring that they contain clear and accurate shipping information. When needed, they stamp, stencil, or glue identifying details and shipping instructions onto crates or containers.
  • This role involves assembling wooden or cardboard containers, or selecting pre-assembled containers, and ensuring the proper insertion of items within. Additionally, for certain shipments, the Clerk secures containers using methods like metal banding or covers.
  • Thorough documentation is part of the role, including recording weights, shipping charges, and affixing postage as necessary. Accuracy in these steps contributes to the successful shipment of goods.
  • The Clerk diligently inspects incoming shipments for potential damage to shipping containers. Similarly, they examine outgoing shipments to ascertain their adherence to specifications before dispatch.
  • Managing the inventory of shipping materials and supplies is a responsibility to ensure uninterrupted shipping operations.
  • Utilizing equipment such as forklift trucks, the Clerk moves, conveys, and hoists shipments from shipping and receiving platforms to designated storage or work areas.
  • Ensuring that all shipments are compliant with specifications and dispatched on time is pivotal. Any issues or deviations are promptly reported to supervisors, and corrective measures are developed to maintain timelines.
  • The Clerk verifies and rectifies any discrepancies to ensure that all components meet customer expectations and are in alignment with the quality standards set by the organization.

Knowledge, Skills and Abilities:

  • Familiarity with order processing systems and ability to navigate websites for shipping purposes (e.g., UPS, FedEx).
  • Proficient in operating a forklift truck.
  • Ability to read and comprehend simple instructions, short correspondence, and memos, and write simple correspondence.
  • Strong numerical skills, including the ability to add, subtract, multiply, and divide in all units of measure using whole numbers, fractions, and decimals.
  • Problem-solving skills to address issues involving multiple variables in standardized situations.
  • Ability to lift and move items weighing up to 25 pounds frequently and occasionally handle loads exceeding 100 pounds.

Education and Certification Qualifications:

  • High school diploma or general education degree (GED).
